AI return on investment depends on the work that disappears, the work that remains, and whether released capacity has a useful destination. Counting every automated minute as cash savings exaggerates value when payroll stays the same. Separate cash reduction, capacity released, and incremental gross profit in the business case.

A practical scenario

Here is an illustrative calculation, not a SyntaxLab result. A team processes 2,000 requests monthly at six minutes each. If the assisted workflow takes three minutes including review, it releases 100 hours. At an assumed internal value of AED 80 per hour, that is AED 8,000 of capacity. With AED 3,000 monthly operating cost, the net capacity value is AED 5,000. An AED 30,000 setup cost would imply six months to recover that value only if those hours are productively reused.

Design the first version

Include model requests, hosting, monitoring, vendor subscriptions, content maintenance, retries, human review, and incident handling. Track implementation cost separately from ongoing costs. For revenue use cases, multiply incremental qualified conversions by contribution margin rather than gross sales. Keep assumptions editable so finance can test lower volume and higher exception rates.

What to test and measure

Run a sensitivity check with half the expected time saving and double the anticipated review cost. If the case becomes negative, narrow the workflow or improve the data before expansion. Measure the actual post-launch handling time and correction rate by request type; an average can hide a costly minority of failures.

  • Which source system owns the facts used in this workflow?
  • Who reviews exceptions and corrects inaccurate output?
  • What baseline and acceptance criteria will determine whether the pilot is useful?
  • What should the user do when a source, tool, or device is unavailable?
